What personal data MailDock collects when you buy or use it — which is very little, because the software runs on your server and your mail never reaches us.

Last updated

The short version: your mail never reaches us. MailDock runs on your server. What follows is about the small amount of data involved in selling you a licence and running this website.

1. Who is responsible

Pristine Technology LLC, a Texas limited liability company, at 815 Brazos St, Ste 500, Austin, TX 78701-2509, USA, is the controller of the personal data described here. Contact us through the contact form.

For the mail on your server, you are the controller and we are not a processor — we have no access to it. See the DPA for the boundary in detail.

2. What we collect, and why

Data Why Basis Kept
Name, email, billing details To sell you a licence and invoice you Performance of a contract While you are a customer, then as tax law requires
Licence key, the server it is bound to, heartbeat timestamps, mailbox and domain counts, product version To operate the licence and check its allowance Performance of a contract Life of the licence, then 12 months
Messages you send through our forms To reply to you Legitimate interest 24 months
Website analytics To understand which pages help Consent — nothing is collected until you accept 14 months

We do not buy data, sell data, or share it for advertising.

3. What the licence heartbeat sends

The licence key, the identity of the server it is installed on, how many mailboxes and domains the server holds, and the product version. Not your domain names, your users, your configuration or your mail. The counts are what is needed to check the licence’s tier allowance; the rest answers “is this licence valid on this machine”.

4. Payments

Payments are processed by Stripe. Card details go to Stripe and never to us; we receive the last four digits, the card brand and the outcome. Stripe’s own privacy notice governs their processing.

5. Analytics and cookies

This website loads Google Tag Manager and Google Analytics only after you accept. Until you choose, no request is made to Google at all. See the cookie policy and change your mind at any time by clearing this site’s storage.

6. Sub-processors

The third parties who process data on our behalf are listed on the sub-processors page, which we keep current.

7. Where data is processed

We use service providers in the United States and the European Union; the sub-processors page names each one and where it is. Stripe and Google process data in their own regions under their standard transfer mechanisms. If you are in the UK or EEA, transfers outside it rely on the UK IDTA or the EU Standard Contractual Clauses as applicable.

8. Your rights

If UK or EU data protection law applies to you, you have the right to access, correct, delete, restrict, port and object to the processing of your personal data, and to withdraw consent for analytics at any time. Ask through the contact form and we will respond within 30 days.

You may also complain to your supervisory authority — in the UK, the Information Commissioner’s Office.

9. Children

MailDock is a business product and is not directed at children. We do not knowingly collect data about anyone under 16.

10. Changes

If we change this policy materially we will say so here and date the change.
